Bilingual Office Manager

Reports to: Business and Finance Administrator

Main Functions of the Office Manager

  • Administration: Assist the Business and Finance Administrator in overseeing administration of employee benefits, updating and developing policies, and identifying and implementing systems improvements. Attend and participate in staff meetings, which are held virtually or in person.
  • Personnel: Ensure that personnel files and records are maintained in a confidential manner and updated as needed; track the calendar of employee reviews and assist appropriate supervisor to schedule; assure certification records are updated as required.
  • Office Management: Process, sort, and route incoming and outgoing mail, phone calls, emails, and other office communications; assist with coordination and scheduling of office appointments and meetings; keep paper and electronic filing systems current. Keep track of basic office supplies and order and replenish as needed.
  • Data Management and Support: Utilizing Microsoft Office 365 and tools such as Word, Power Point, Excel, Access database, and Office, accurately input data and create reports. Support program and management staff with data collection and database management.
  • Troubleshoot: Receive and disseminate to appropriate vendor any identified needs of the office equipment and property. Serve as primary liaison with the property landlord and administer the conditions of the facility contract. Create and maintain a professional and cordial relationship with vendors who provide service to SKCE.
  • Safety and Security: Strictly adhere to all SKCE confidentiality and safety policies and procedures; respond to and correct any safety or security issues which pose an immediate risk; Adhere to agency code of ethics and standards of workplace behavior

Secondary Responsibilities

  • Education: Attend continuing education trainings as you deem helpful to growth in your profession (and as approved by your supervisor; SKCE pays for continuing education)

General Performance Expectations

  • Perform the duties and responsibilities listed in the Office Manager job description. Perform other duties as requested.

Skills and Experience

  • Bilingual in English and Spanish, in both oral and written form
  • Ability to maintain confidentiality in areas of payroll and personnel records
  • Knowledge and use of Microsoft and other computer platforms
  • Effective interpersonal communication and the ability to develop and maintain professional relationships and work well with people with diverse backgrounds, education and learning skillsets; possess a level of comfort working with a diverse and multi-cultural community
  • Time Management with the ability to manage multiple tasks and projects
  • Respectful and positive communication and behavior towards parents, children, clients and staff
  • Certification - or willing to become certified - in First Aid, CPR and Infant CPR (staff training is offered periodically).
  • Be willing to submit to a full background check provided by SKCE

Knowledge and Education
